Position Title: Office Administrator

Reports to: Co-Minister/Chief of Staff

General Summary:  The Office Administrator oversees the administrative functions of the Society. As the first contact most people have with our Society, the administrator must be flexible and enjoy working with people. The administrator is responsible for the financial records of the Society and all membership data.

Hours:  Full-time (37.5 hours per week, including possible Sunday mornings). Salaried, 12 months per year

Responsibilities and Duties:

  • Administers Society’s budget
  • Prepares payroll and accounts payable checks
  • Records pledges, and sends out quarterly statements
  • Administers Society’s office and building rentals
  • Procures all supplies and office materials
  • Maintains office equipment and service contracts
  • Works with vendors
  • Publishes the Warrant and Reports for Society’s Annual Meeting
  • Manages the congregation’s database, including input of:
    • Members
    • Pledges, reports and mailings for the annual pledge drive
  • Supervises custodian and landscape services
  • Maintains the calendar of building usage and programs HVAC accordingly
  • Publishes events on the website calendar
  • Ensures building security for rentals and other uses
  • Administers keys for renters and congregation members
  • Produces the weekly order of service, inserts, and programs for memorial services
  • Meets weekly with Supervisor and Treasurer
  • Works with Building and Grounds Chair to oversee maintenance and repairs
  • Provides administrative support for the co-ministers, Board chair, and Operations Council chair
  • Supports volunteer management and coordination
  • Participates as an engaged member of the staff team

Qualifications:

  • Ability to use bookkeeping, database, cloud-based filing, and web-publishing applications
  • Bachelor’s degree or equivalent office management experience
  • Experience with Congregational life or volunteer management desirable

Skills:

  • Ability to be the “face” of the congregation with the larger community, supervising rentals and welcoming visitors
  • Friendly and diplomatic with members of the public and congregation
  • Ability to work independently with good organizational, administrative, and management skills
  • Care and discretion in managing sensitive information (financial and personal) shared with the person in this position
  • Ability to work collaboratively and show initiative
  • Understanding and supportive of Unitarian Universalist values and beliefs
